Photography and Videography Policy
This Photography and Videography Policy establishes the guidelines for capturing, using, and distributing photographs and video recordings during projects. The goal is to protect the privacy of clients and participants while ensuring professional standards are maintained.
Consent

Photography and videography will only be conducted with the knowledge and consent of the client or property owner.

Written permission may be required before recording individuals, especially for commercial, promotional, or marketing purposes.

Parents or legal guardians must provide consent before minors are photographed or recorded.
Professional Conduct

All photographers and videographers will conduct themselves respectfully and professionally at all times.

Recording will not interfere with the event, ceremony, business operations, or other scheduled activities.

Staff will comply with venue rules and instructions from venue management.
Privacy

Private conversations, confidential information, or sensitive areas will not be intentionally recorded without permission.

Clients may request that specific moments, individuals, or locations not be photographed or filmed.

Any requests to stop recording will be respected immediately unless otherwise agreed upon in writing.
Use of Images and Video

Unless otherwise stated in the client agreement, copyrighted photographs and videos remain the intellectual property of the creator.

Images and videos may be used for portfolios, websites, social media, advertising, and promotional materials only with client authorisation or as outlined in the service agreement.

Clients may opt out of promotional use by submitting a written request before the project begins.
Editing

Final photographs and videos will be edited according to the company’s artistic style.

Requests for extensive edits beyond the agreed scope may incur additional charges.

Raw, unedited files are not included unless specifically stated in the service agreement.
Delivery

Final media will be delivered electronically or through another agreed-upon method within the timeframe outlined in the service agreement.

Delivery timelines may vary depending on project size, editing requirements, holidays, or unforeseen circumstances.
Client Responsibilities
Clients agree to:

Obtain any necessary permissions for filming at private locations.

Inform guests or participants that photography or videography will be taking place when appropriate.

Provide accurate schedules and access to locations.

Designate a point of contact for event-day communication.
Copyright & Usage Rights

The creator retains copyright ownership of all original work unless otherwise transferred in writing.

Clients receive a license to use delivered media for the purposes outlined in their agreement.

Clients may not sell, alter, or redistribute media for commercial purposes without written permission.
Equipment & Safety

Equipment will be operated safely and responsibly.

Drone operations, when applicable, will comply with all applicable laws, regulations, and location restrictions.

Recording may be suspended if conditions present a safety risk to staff, clients, guests, or equipment.
Cancellation & Force Majeure

Cancellations are governed by the terms outlined in the client service agreement.

The company is not liable for delays or cancellations caused by severe weather, natural disasters, government restrictions, venue closures, equipment failure beyond reasonable control, illness, or other unforeseen events.
Cancellation & Rescheduling
To reserve your photography or videography services, a signed agreement and any required retainer must be received before the booking is confirmed.

Cancellations made 20 days before the scheduled service date will incur a 15% cancellation fee of the total contracted service amount.

Cancellations made 14 days before the scheduled service date will incur a 25% cancellation fee of the total contracted service amount.

Cancellations made 7 days before the scheduled service date will incur a 50% cancellation fee of the total contracted service amount.

Cancellations made less than 5 days before the scheduled service date, or failure to appear for the scheduled service (“no-show”), will incur a cancellation fee equal to 100% of the total contracted service amount.
Rescheduling
Clients may request to reschedule their session or event, subject to availability. Requests made at least 14 days before the scheduled date will generally be accommodated without penalty. Rescheduling requests made within 13 days of the scheduled service may incur a rescheduling fee of up to $150, depending on scheduling availability and project requirements.
Company Cancellations
If the company must cancel due to illness, emergency, severe weather, equipment failure beyond reasonable control, or other unforeseen circumstances, the client will be offered the option to reschedule at no additional charge or receive a full refund of any payments made. The company is not responsible for indirect or consequential damages resulting from such cancellations.
Limitation of Liability
While every reasonable effort is made to capture and preserve media, the company is not responsible for circumstances beyond its control that prevent completion of services. Liability shall be limited to the amount paid under the applicable service agreement, unless otherwise required by law.
Policy Changes
This policy may be updated periodically. The most current version will apply to all future bookings unless otherwise specified in a signed agreement.
Acknowledgment
By booking photography or videography services, the client acknowledges that they have read, understood, and agreed to this Photography and Videography Policy and any additional terms contained within their service agreement.
